Information on Data Protection

We process your data in accordance with the applicable legal provisions on data protection, in particular with the EU General Data Protection Regulation (GDPR) and the Brandenburg Data Protection Act (Brandenburgisches Datenschutzgesetz BbgDSG).

Types of data being processed
•    Core data (name, gender, nationality),
•    Contact details (address, (mobile) phone number, e-mail address),
•    Bank information (such as IBAN, Bic/Swift, bank name),
•    Study-related data (degree program, degree level, academic year, overview of grades)
•    Qualification data (language skills, specialist knowledge, certificates, letters of recommendation, information on extracurricular activities),
•    Other relevant data on the economic and social situation (information on the applicant's financial circumstances, information on illnesses, children, or care responsibilities, etc.)

Purpose of data processing
Data processing is carried out by the International Office (IO) as part of the funding program “Degree Completion Grant for International Students", which is financed by the German Academic Exchange Service (DAAD). The data is collected for the selection of suitable grant recipients by the IO in accordance with the DAAD funding criteria (international B.A. and M.A. students who have obtained their university entrance qualification abroad) and additionally the University of Potsdam's own criteria (performance, financial need, commitment, etc.).

Legal basis for data processing
The legal basis for data processing is Article 6(1)(1)(e) GDPR in conjunction with Section 15(11) of the Brandenburg Higher Education Act (BbgHG). It enables universities in the state of Brandenburg to process personal data of students, including special categories of personal data, such as health data, for university-related purposes and thus also in connection with the awarding of grants.

Recipient of the data
Only those persons and offices of the University of Potsdam (International Office, Division of Finance and Procurement, members of the Executive Board) who are responsible for processing your application, selecting grant recipients and, if applicable, administering any aid granted will receive your personal data. In the event that financial support is granted, personal data will also be given to our bank. In addition, the third-party funding provider DAAD receives anonymized data on the awarded grants (number and degree level of the persons selected for funding, duration of funding).

Duration of data storage
In the event of a successful application and the granting of the associated benefits, the data collected will be stored. After the end of the financial support period, personal data that the University of Potsdam is legally obliged to retain will continue to be stored (max. 5 years after the funding program has been implemented; after that, personal data is routinely anonymized). Data of students who have received a rejection immediately after their application will be deleted in the following semester.

Your rights
You have the right to request information from us regarding the processing of personal data pertaining to you. Apart from the possibility to obtain a copy of your personal data, this right allows you to request information on the purposes of the processing, the recipients of the data as well as the duration for which the data is stored.
Should the personal data being processed be incorrect, you can ask for it to be corrected. Should the legal requirements of Article 17 or 18 of the GDPR apply, you also have the right to have personal data deleted or to restrict its processing. Please note that restricted processing of your data might not be possible in some cases. You have the right to receive your personal data in a structured, commonly used, and machine readable format or to request the transmission of your data to another controller (Article 20 GDPR). Insofar as data processing is permissible without your consent, you can object to the processing of your data in accordance with the requirements of Article 21 GDPR.
