Conditions of Participation in the Programs of the International Summer Campus of the University of Potsdam
The International Summer Campus at the University of Potsdam offers programs for a fee. All services and offers within the framework of the “Deutsch(land)kurs Willkommen” and the “International Summer Academy Sans Souci” (in parts also for Summer School Programs) are exclusively based on these conditions of participation. Any additional agreements require a written declaration of consent in order to be valid.
1. Conclusion of the Contractual Relationship
Registration is done under the registration field in the respective programs. Registration takes place via an online form. By registering, you agree to our conditions of participation.
As soon as the registration has been received, participants will receive the confirmation of receipt and the invoice by email. The registration becomes legally binding once the course fee has been paid.
2. Terms of Payment
The participants accept the terms of payment below. After the invoice has been sent, the invoice amount is to be paid within 7 days by bank transfer. Otherwise the registration expires and the place will be allocated elsewhere. All fees are per person. All payments must be made in EURO (€).

Please note that you, as the customer, must assume responsibility for all bank fees.
If, as a result of currency conversions or bank-specific procedures, a small amount remains in the participant’s account during the payment process as an open item, the participants must pay this open amount at the latest by the beginning of the course/on arrival at the respective course.
3. Cancellations/Refunds/Alterations
The cancellation of participation is only possible subject to the following conditions:
Cancellations can only be considered in written form via sending an email to isco@uni-potsdam.de.
In case of a cancellation of participation by a participant the following fees are charged:
After receipt of payment to 6 weeks before course start: cancellation free of charge minus an administrative fee of EURO 80 (EURO 50 for the “Deutsch(land)kurs Willkommen”)
From 6 to 4 weeks before the course begins: 50 % of the course fee
Less than 4 weeks before the course begins: 100 % of the course fee
Possible reimbursements will be done less any occurring bank fees.
In case of a belated arrival or an early withdrawal from the course participants are not entitled to a refund or reimbursement of the course fee.
If there are not enough participants, programs can be canceled up to 6 weeks before the start of the course. Payments received until then will be refunded in full, less any possible bank fees. In this case a EURO 100 (EURO 50 for “Deutsch(land)kurs Willkommen”) discount for future bookings of ISCO courses will be offered. Other claims against the University of Potsdam cannot be asserted in this case.

5. Visa Requirements
Registered participants from countries requiring a visa will receive an invitation letter from the University of Potsdam to present at the embassy after the fees have been transferred. If the participants do not receive a visa, the payment received will be refunded with the exception of 80 EURO/ 50 EURO for the 'Deutsch(land)kurs Willkommen'. The prerequisite is, however, that the participants apply for the visa at the responsible embassy in due time. ISCO recommends applying for a visa as early as possible, but at least 12 weeks before the course starts.
For reimbursement, the official rejection letter (incl. signature, stamp) from the embassy must be submitted via email. Participants will receive any refunds after deduction of any bank charges. If such a notification cannot be submitted or if the reason for refusal is due to the late submission of the visa documents, the cancellation conditions described under point 3 apply.
6. Accommodation
In some programs ISCO may offer a limited number of rooms in the student dormitory. Please note that the University of Potsdam is only an intermediary for the accommodation and the money you transfer is forwarded to the respective landlord. The respective terms and conditions of the third party provider apply. The reimbursement of accommodation fees is usually not possible. The participant is liable for all damage to the accommodation. The accommodation has to be returned in an orderly and clean condition. If this is not the case, we reserve the right to charge a final cleaning fee of 55 EURO.
7. Copyrights and Rights of Use
Within the framework of the programs, video & sound recordings or photographs[C1] will be taken of the participants at the events (opening event, excursions, teaching situation, final event, special events if necessary). These recordings may be distributed and/or published by ISCO on the website www.uni-potsdam.de, in social networks such as Facebook or Instagram, in online portals for Study Abroad offers, or in print media for publication and/or advertising purposes. If the participants do not wish to be photographed, it is their responsibility to inform the photographer commissioned by ISCO or the ISCO team accordingly.
Insofar as the participants submit photos to the ISCO (also in the context of a photo contest organized by the ISCO, if applicable), the following applies:
By submitting photos to the ISCO, the participants assure that they themselves have created them without the help of third parties protected by copyright or ancillary copyright. The participants assure that they have unrestricted use of their photos in relation to the copyright usage rights.
If one or several individuals are recognizable in the photos, the persons concerned have to agree that the respective photo is made publicly accessible.
8. Insurance and Data Protection
The course fee does not include insurance coverage for participants. It is mandatory to obtain health insurance for the duration of the stay in the Federal Republic Germany. Furthermore, we recommend taking out liability insurance. It is the participants’ own responsibility to obtain the necessary insurance coverage.
The participants are liable for all damages caused by them.
The participants agree that the ISCO electronically records and processes their data for the purposes of registration, billing and correspondence, but may not pass them on to third parties, except in the case of visa matters or contractually bound third-party providers.
The participant is responsible for communicating any change in personal data, in particular postal and e-mail addresses, immediately.
The participant is responsible for obtaining all legal documents necessary for his or her stay in Germany. ISCO requires an entry and residence permit as a matter of course.
9. Rule of Conduct
In the interest of everyone involved, all participants are expected to behave properly during the programs. Regular attendance of classes is obligatory. In case of repeated unexcused absences participation will not be certified or ECTS credits may not be awarded.
The Youth Protection Act is imperative. Alcohol consumption is prohibited for minors. In the event of reckless or uncontrolled behavior, the participant may be expelled from the program.
The course participant is required to obey all University of Potsdam and all accommodation house rules for the duration of his or her stay. Serious violations can lead to exclusion from the program. Costs will not be refunded.
The organizer and its representatives and assistants (vicarious agents) assume no liability for personal injury, property damage and/or financial loss of any kind.
10. Minor Participants
In agreement with the ISCO the participation of minors (less than 18 years of age) is generally possible. The minimum age for participation in the programs is 16 years. If a prospective participant is not of age yet, the following documents are required:
- A declaration of consent by the legal guardians/mother/father (if so, by the supervisor in charge), for the general participation in the program
- a copy of the identity card/s of the legal guardians/mother/father.
Please download the document “Consent for Minor Course Applicants”. Fill it in together with your legal guardians/mother/father and send it via e-mail to iscouuni-potsdampde.
We further recommend a declaration of consent by the legal guardians/mother/father, notarially certified in the home country, to enter Germany. This document is intended exclusively for the participants, as it may have to be presented at the airport for departure to Germany.
